For hunting and fishing lodges with 1 to 25 guides

Outfitter software for the gear room and the guide board

LodgeKit is outfitter software for small hunting and fishing lodges that tracks the gear you lend guests on every trip (waders, boots, rods, decoy sets), when it's due back, what came back damaged or missing, and which guide is on which trip. Bookings and payments stay where they are; this is the gear room and the guide board.

A trip, the morning it starts

Sizes, tags and guides on one sheet

Each trip keeps its guests' wader and boot sizes, the tag number of everything handed out, and who's guiding. Anyone still waiting on gear stands out before the trucks load.

When the truck comes back

Every item comes back one of four ways

Log the return while the guest is still on the porch. The item's status changes on its own, so tomorrow's group never gets the pair with the torn seam.

Good

Back on the shelf and available for the next trip.

Dirty

Back on the shelf, with the return marked dirty so it gets rinsed before it goes out again.

Damaged

Goes to in repair, and a damage report opens for severity, what happened and the estimated cost.

Missing

Comes off the shelf as retired, and a damage report opens while the guest is still at the lodge.

The whiteboard can tell you who's fishing today. The dashboard also tells you what never came back from last week, what's on the repair bench, and what's free for Saturday's group.

What it keeps track of

Gear, guests and guides on one trip record

Equipment checkout software built around trips

Tag every pair of waders, wading boots, rod, reel, decoy set, blind bag, PFD and gun case once. On trip day, pick the trip, pick the guest or guide, pick the item. The due-back date fills in from the trip's last day, and the item shows as out until it's returned.

Wader rental sizes on the guest roster

Each guest on a trip carries their wader size, boot size and handedness, so the right kit is on the rack before the truck pulls in, and nobody re-asks a returning guest at the door.

Damage logged the night it happens

A damaged or missing return opens a damage report on its own: severity (minor, major or lost), a description and an estimated cost, with its status tracked from open to repaired or written off.

A guide board for every trip

Put a lead and an assistant guide on each trip from your list of guides, with or without a login. The trip page shows who's guiding, which guests are going, and what each person was issued.

Fishing lodge gear inventory you can export

Import the gear spreadsheet you keep now from CSV. Export the gear list, the trip list or the damage log to CSV whenever an accountant or insurer asks.

Bulk return at the end of a trip

When the group is packing up, return everything still out on the trip in one go, then change only the items that came back dirty, damaged or missing.

Hunting and fishing guide logins

Guides know their guests before the morning meeting

Every guide is a record with a name and phone number that you put on trips as lead or assistant, whether or not they ever sign in. The trip page shows who's guiding and which guests they have.

On the Outfitter plan a guide can also sign in. They get their own trips and nothing else: each guest's wader size, boot size and handedness, the gear issued on the trip, and a way to log a return or file a damage report from the boat ramp. Other trips, the full gear list, your team and billing stay out of view.

Opening day

Ready before the season, in an afternoon

  • Bring in the gear room

Import your gear sheet from CSV or type items in: tag number, category, size, brand and model, condition.

  • Add the season's trips

Name, type (fishing, waterfowl, upland, big game), dates and where it runs. Add each guest with their sizes.

  • Put guides on trips

Add your guides with a phone number and assign a lead and an assistant. Guide logins come with the Outfitter plan.

  • Issue, return, repeat

Hand out gear the morning a trip starts, log how it came back, and watch the dashboard for anything overdue or broken.

Questions

Before the first trip goes in

Does LodgeKit take bookings or payments?

No. It doesn't take reservations, deposits or payments, and guests never see it. Keep booking trips the way you do now; LodgeKit picks up from there with the trip's guests, their gear sizes, the gear you hand out and the guides assigned to it.

We track rental equipment in a spreadsheet now. How do we move it over?

Save the sheet as CSV and import it on the Gear page, so each row becomes a tagged item with its category, size, brand and condition. Unlike a sheet, every checkout is tied to a trip and a guest, and gear goes back to available the moment it's returned. You can export gear, trips and damage reports back to CSV any time.

Does it work as fishing guide software if our guides don't log in?

Yes. A guide is a record with a name and phone number, and you can assign them to trips as lead or assistant on any plan. A login of their own is optional and comes with the Outfitter plan.

What does a guide see when they sign in?

Only the trips they're assigned to: the guests on each trip with their sizes, the gear issued on it, and buttons to log a return or file a damage report. They don't see other trips, your full gear list, your team or billing. It works the same for hunting guides running waterfowl or upland trips.

How does gear checkout work on trip day?

Open Issue and Return, choose the trip, the guest or guide, and an available item by tag number. The due-back date defaults to the trip's last day and can be changed. The item is marked out until someone logs it back in.

What happens when a guest's waders come back torn?

Return them as damaged. LodgeKit opens a damage report linked to the item and the trip, with severity, a description and an estimated cost, and moves the waders to in repair so they can't be issued again by mistake. LodgeKit doesn't charge the guest; the report gives you what you need to do that in your own billing.

Can I see what gear is free for tomorrow's group?

Yes. The dashboard shows gear out now, overdue returns, trips starting today, open damage reports, gear in repair, and the gear that's free on a date you pick.

How long can we try it before paying?

A new lodge gets 30 days free with no card on file. When the trial ends nothing is deleted: you can still read every trip and record, but adding or changing anything waits until you pick a plan. Solo is $19 a month for an owner running the gear room alone.
